Job Description: Job Description: Vice President of Membership (Board Position)

Works collaboratively with: Board of Directors, President, Treasurer, Webmaster, and other board members
Commitment: ~4–8 hours per month (Virtual, with occasional additional time around meetings or membership cycles)

Position Summary

The Vice President of Membership is a member of the NWSGS Board who helps the Society stay connected to its members and continue to grow. This role focuses on maintaining accurate membership records, tracking participation, and looking for ways to welcome new members and encourage renewals.

If you enjoy helping people feel included, keeping information organized, and thinking about how to strengthen a growing genealogy community, this is a very meaningful role.

This is a volunteer leadership position with shared responsibility and strong board support.

Key Responsibilities

Membership Records & Tracking

Maintain and update membership records, including contact information, dues status, and attendance information.
Track new members, renewals, and member information changes throughout the year.
Help keep membership data organized so the Society has accurate records for planning and communication.

Reporting & Board Support

Provide a monthly Membership Report to the board, including member counts, attendance, and general membership trends.
Prepare a year-end membership report for the board with summary information about the membership.
Share insights with the board that help support planning, outreach, and member engagement.

Growth & Member Engagement

Look for ways to attract new members and encourage renewals from current members.
Help the board think about how to communicate the value of membership and member benefits.
Support a welcoming environment for both members and visitors at Society meetings and events.

Meeting & Administrative Support

Attend general meetings and help track attendance and member participation.
Work with the Treasurer on membership-related financial records and deposits when needed.
Coordinate with the Webmaster regarding new member information and updates that affect member access or website records.

Skills & Qualifications

Organization: Comfortable keeping records accurate and up to date.
Communication: Able to share membership information clearly with the board and work well with others.
Attention to Detail: Notices changes, follows through, and helps maintain reliable records.
Welcoming Mindset: Enjoys helping people feel included and valued in the Society.
Comfort with Basic Digital Tools: Willing to work with spreadsheets, email, and shared online systems.

Prior experience with membership tracking or nonprofit administration is helpful, but not required. Guidance and support are available.
